About the Job Opportunity

Are you someone who thrives on organization, follow-through, and bringing complex workstreams together? The Center for Action and Contemplation (CAC) is seeking an Events & Production Coordinator to support the day-to-day operations of our Events and Production team.

In this role, you’ll serve as a central point of coordination across projects, calendars, and communications. You will help to ensure that events, productions, and internal workflows run smoothly and efficiently. You’ll partner closely with the Director of Events & Production, Senior Producer, Producer, and Events Manager to keep projects moving forward and details tightly managed.

What You’ll Do

Team Coordination & Operations

  • Serve as a key point of contact for scheduling, calendar coordination, and cross-team meeting logistics
  • Track action items, follow-ups, and deadlines to ensure timely completion of work
  • Support internal workflows and help connect day-to-day tasks to broader team projects

Project & Systems Management

  • Maintain and update project plans in Asana, ensuring timelines, tasks, and statuses are accurate and visible
  • Organize and maintain shared documentation across platforms (SharePoint, shared drives, etc.)
  • Assist in setting up new projects and ensuring clear structure from kickoff through completion

Administrative & Communication Support

  • Prepare agendas, take meeting notes, and track action items across team meetings
  • Draft routine internal and external communications, including scheduling and follow-ups
  • Monitor shared inboxes and communication channels, routing requests appropriately

Production & Event Support

  • Provide logistical and administrative support across events and production workflows
  • Assist with Zoom-based course calls, including setup, hosting support, and participant management
  • Support preparation of run-of-show documents and meeting materials
  • Assist with organizing and shipping materials for in-person events as needed

Operational Excellence

  • Maintain consistent file organization, naming conventions, and documentation standards
  • Identify gaps or inefficiencies in workflows and proactively suggest improvements
  • Act as a steady, reliable presence helping the team stay organized and on track

Qualifications

  • 1–3 years of experience in a coordination, administrative, or project support role
  • Strong organizational skills with demonstrated ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Experience working cross-functionally in a collaborative environment
  • Familiarity with project management tools such as Asana (or similar)
  • Comfort with Zoom and supporting virtual meetings or events
  • Proficiency in Microsoft Office Suite and shared documentation tools

Nice-to-Haves

  • Experience supporting events, media, or production teams
  • Experience working in a nonprofit or small team environment
  • Systems thinking mindset—ability to connect tasks to broader project goals
  • Interest in or curiosity about CAC’s mission and contemplative work

Work Requirements

  • Occasional travel required for team off-sites or in-person gatherings
  • Ability to maintain a stationary position at a desk/workstation for extended periods, using a
  • computer, and performing repetitive arm/hand motions such as typing and operating a mouse.
  • Ability to view computer monitors and read digital text/data
  • Ability to communicate effectively in English in verbal conversations, including comprehending spoken words and participating in discussions.
  • Must be able to occasionally lift and carry approximately 15 pounds

This is an non-exempt, full-time position scheduled to begin as soon as possible. We are looking for candidates located in or near Albuquerque, NM to support in-person collaboration.

We are pleased to offer a range of $24.08 - $30.11 per hour (based on experience) for this position. Compensation ranges are established based on a grade system designed to ensure competitiveness with industry standards as well as pay equity. Final compensation will be determined based on the specific qualifications of the candidate in relation to the salary grade and predetermined criteria.
